Purpose of Position
Under the leadership of the Manager of Pay & Benefits, the Payroll Assistant is responsible for processing full cycle payrolls and assisting with all aspects of payroll and benefits administration. The Payroll Assistant contributes to the overall efficiency and effectiveness of the payroll functions, helping to ensure compliance with relevant laws and regulations while providing excellent service to employees.
Key Responsibilities
Duties include, but are not limited to, the following:
· Process full cycle payroll for unionized and non-unionized employee groups through an in-house payroll system.
· Process pay accurately within fixed deadlines, adhering to applicable legislation and collective agreement rules.
· Utilize various software for transfer of payroll data, tracking information and combining or converting files.
· General duties include but are not limited to: new hire setups, status changes, pay adjustments, terminations, exception and casual employee entries, absence entry, payroll balancing, and records of employment.
· Reconcile and prepare monthly remittances for payroll and/or benefit accounts.
· Prepare and distribute applicable post payroll reports.
· Assist with mass employee group pay calculations.
· Ensure employee files and payroll records are kept current with relevant information and stored in their applicable location.
· Communicate with all internal and external parties on payroll matters.
· Contribute to finding efficiencies and streamlining payroll processes.
· Work in conjunction with the Human Resource Department regarding any discrepancies between HR and payroll records.
· Provide support in other payroll or benefits areas as required,
· Conduct such research as may be required by the Secretary-Treasurer, Assistant Secretary-Treasurer or Manager of Pay and Benefits.
· Performs other duties as may be assigned to support the efficient operation of the Department.
Skills and Qualifications
Skill and Knowledge – Required:
· Minimum 3 years of recent payroll experience in an electronic environment for a mid to large sized organization.
· Strong knowledge of Microsoft Office with a focus on intermediate Excel skills.
· Comfortable with navigating and using online applications.
· General knowledge interpreting union contracts as they relate to payroll.
· Ability to work independently and part of a team.
· Strong communication and interpersonal skills.
· Ability to prioritize and meet tight deadlines.
· Maintain discretion with respect to sensitive and confidential information.
Skill and Knowledge – Desired:
· Completion of Payroll Compliance Practitioner Certificate (PCP) from the National Payroll Institute is desired.
· Benefit and accounting knowledge is desired.
· Previous experience in Enterprise Resource Planning (ERP) software.
· Prior experience in an educational environment.
